Here is an updated Check List with a timeline.  You can see we are cutting it a little close on some things, but I know we can pull it off!

NOTE:  This list is followed by a chart of everyone's status as of 8/7/06, then a First Aid Kit, Dispensary List and a Packing List (you can skip to them by clicking their names)

Kenya Trip Check list and timeline

1-2 years before trip:  (these will hopefully be in place in the next 2 years)
·      Apply for Venture grant scholarship
·      Apply for trip thru BU (contact faculty or student coordinators)
·      Obtain approval to do trip as clinic shift or preceptor credit
o       (possible to apply financial aid to trip if doing for class credit)
·      Fundraising contacts to foundations, large companies, and nutraceuticals
o       (they make their budgets for contributions in June / July for the next year)
 
6 months before trip:
·      Immunizations:  begin Hepatitis B series (takes six months to complete)

3 months before trip:
·      Immunizations
o       Hepatitis A (very strongly recommended)
o       Hepatitis B (very strongly recommended)
o       Tetanus / Diptheria (very strongly recommended)
o       Typhoid (very strongly recommended)
o       Yellow fever (strongly recommended)
o       Meningitis (consider)
o       Rabies (consider)
o       Measles (recommended)
o       Polio (strongly recommended)
·      Village Volunteers Application (complete and submit)
·      Read Travel Documents on VV site
·      Select villages and inform VV of your preferences
·      Plane Tickets (1-3 months ahead for better fares) (Tim Cunningham STA Travel – see contact info list on our website)  Other travel agents Click here
·      Passport (45 - 60 days minimum)
·      Begin fundraising events & letter drives
·      Contact clinics you intend to visit to get lists of needed supplies and medicine
·      Solicit donations of medical supplies, medicines and products
·      Consider using language tapes to learn Swahili
·      Arrange pet care, house sitting, clinic shift coverage if necessary
 
2 months before trip: 
·      Village Volunteers Deposit ($100)
·      Sign and submit VV “volunteer conduct form” and “waiver”
·      Submit travel itinerary to VV (airline travel dates & times)
·      Apply for Visa (2 weeks, requires sending in passport)
·      Continue fundraising
·      Begin planning educational talks and materials to be given to villages
 
1 month before trip:
·      Register with Embassies (online)
·      Complete First Aid Kit and Medicines list
·      Continue fundraising
·      Begin collection of donated medicines and supplies
·      Begin arranging in country transportation
·      Review Packing list and do any shopping necessary
o       (include time for orders to arrive)
·      Finalize educational talk topics, create visual aids
 
3 weeks before trip:
·      Obtain Travel Insurance, submit proof to VV (STA travel, Tim Cunningham)
·      Submit final payment to VV
·      Obtain any Rx items  (Public health or team doctor)
o       (some malaria meds need to be started 1-2 weeks prior to travel)
·      Finish visual aids for education talks, take to printers for enlargement and lamination. 
 
2 weeks before trip:
·      Submit “Pre-Departure Survey”
·      Emergency contact info given to VV
·      Finalize in country transportation details
·      Wrap up education presentations if not done
·      Wrap up pre-trip fundraising and thank you letters
 
1 week before trip:
·      Make arrangements with friends / family to deposit emergency funds into bank
·      Last minute shopping
·      Pack (see Packing list)
·      Label all luggage with DESTINATION address (see In-Country contact info)
·      Review Travel Documents on VV site, print any that are helpful
o       In country contact info
o       cultural guidelines
o       language guide
o       other “while you are there” documents from VV site
·      Inform bank & credit card companies that you will be traveling in Kenya (to prevent blocks on charges from foreign countries)
·      Make copies of:  
o       passport  (front page and visa page)
o       plane tickets
o       traveler’s checks (or just record serial numbers)
o       drivers license
o       credit cards (include back of card so you have cancellation numbers)
o       banking information
·      Make note of phone numbers for:
o       US Embassy
o       Credit card companies (in case cards are stolen)
